About The Role

This is a remote, part-time healthcare job—sometimes called a patient access representative, medical scheduling coordinator, or patient care coordinator. You’ll work from home on a set evening and weekend schedule. If you’ve worked in a front office, a medical call center, or any customer service role where people counted on you, you already have most of what we need.


How It Works

As Patient Intake Coordinator at MovementX, you will serve as the primary point of contact for prospective and existing patients during extended-hours and weekend coverage. You will join a fast-growing, mission-driven team dedicated to delivering high-quality, personalized physical therapy services.

In this role, you will play a critical part in providing exceptional customer support, managing patient lead inquiries, and ensuring seamless scheduling and onboarding for our patients.

Delivering an 11-star patient experience is critical to MovementX’s success, and you will play a big role in delivering prompt and clear communication that adds to and enhances the patient experience.

Ideal Hours: Mon–Thu 2:00–5:00pm PT and Sat–Sun 8:00am–12:00pm PT with some flexibility. Ideally, you also have room to provide coverage during regular business hour coverage a few times per month (9am-5pm ET, Mon-Fri).

Key Responsibilities

  • Report directly to the Chief Marketing Officer (CMO).
  • Answer all inbound patient calls live during shift.
  • Monitor live support chat channels during shift.
  • Answer tier-1 FAQs: cash-pay model, ~$225/session, mobile/in-home delivery, markets served, superbill vs. insurance.
  • Log every lead in our Lead Tracker with source, market, and injury info.
  • Book patients directly into provider availability.
  • Clear the voicemail queue at shift start and shift end.
  • End-of-shift handoff communication with other teammates.

What Success Looks Like

  • Zero Missed Calls: 100% of live incoming calls are answered promptly during designated coverage hours or immediately followed up on during your shift.

  • Rapid Lead Conversion: Inbound leads and voicemail inquiries are logged and scheduled accurately within the same shift.

  • Exceptional Patient Experience: Deliver clear, warm, and professional communication that elevates the client onboarding journey.

  • Seamless Handoffs: Maintain thorough end-of-shift documentation to ensure seamless continuation of care and operations.

Preferred Qualifications

While not required, we encourage candidates with the following experience and skills to apply:

  • Experience: 1+ years in customer service, patient intake, administrative support, or call center operations.
  • Character: Highly reliable, compassionate listener, detail-oriented, highly organized, and self-motivated to work independently.
  • Education: College degree or High School diploma.
  • Tech Stack: Proficiency with phone systems (Vonage), CRM/Lead Trackers, live chat tools (Slack), email (Gmail), and artificial intelligence tools (Gemini).
  • Industry: Ideal experience includes physical therapy or out of network healthcare experience, however no experience is required to apply.

Frequently Asked Questions

  • Is this job fully remote? Yes. This is a 100% work-from-home role. You’ll need reliable internet, a quiet space for patient calls, and a computer. Pacific time zone is preferred so we can more fully cover our West Coast markets.

  • What are the actual hours? Monday through Thursday 2-5pm PT and Saturday/Sunday 8am-12pm PT, roughly 20 hours per week. Your part-time schedule is set far in advance, so you can plan your life around it.

  • Is this W2 or 1099? W2.

  • Do I need healthcare or physical therapy experience? No. Most of what you’ll do is listen well, utilize our existing systems, answer clearly, and keep good records. We’ll train you on the physical therapy side. If you’ve worked in a medical office or call center, that’s a bonus, but not a requirement.

  • Do I need a college degree? No. A high school diploma is fine. We care more about reliability and how you make people feel on the phone.

  • What equipment do you provide? We provide your phone system (Vonage), Slack, Gmail, and all software licenses. You can use your own computer, phone, and internet.

  • Is there room to grow? Yes. This role sits at the front door of our patient experience. As MovementX grows, so does this team — and we promote from within.

  • How long does hiring take? We are looking to fill this role by the end of September 2026.
